PRIVACY & PARTICIPATION
Participant and
Rater Notice.
How your information is handled when you take part in an Alive Leadership Profile.
Last updated: 23 October 2026
What this notice covers
This notice explains what The Alive Institute LLC ("Alive") collects when it runs an Alive Leadership Profile, who sees it, how long it is kept, and what choices you have. Alive runs the Profile from start to finish. Taking part is voluntary. A Self Profile has only the Leader's own responses and no Raters.
Who is involved
| Who | Role |
|---|---|
| Alive | Sends the invitations, collects and scores responses, produces the Report, and delivers it. |
| The Leader | The person the Profile describes. In the 360 Profile, the Leader also answers about themselves. |
| The Leader's coach | The Certified Alive Leadership Practitioner the Leader works with. The coach receives the Report and uses it to help the Leader. |
| Brilliant Assessments | The survey platform that hosts the questions and responses for Alive. |
| The Leader's organization, if any | Receives nothing from Alive. It receives information only if the Leader gives specific written permission. |
What Alive collects
From Leaders: name and email address; answers about your own leadership; and written reflections you choose to give.
From Raters: name and email address; your relationship to the Leader (for example manager, peer, or direct report); your ratings, including any "unable to rate" choice; your written comments; and whether you completed the survey. The platform may also record technical information such as the time you responded.
Please do not put health, family, or other sensitive details about yourself or anyone else in a comment. The questions do not ask for them.
Who sees what
| Who | What they see |
|---|---|
| The Leader and the Leader's coach | The Report. It shows the Leader's own answers and results for each rater group. A group's results appear only when enough people in that group gave eligible ratings. The manager's ratings are shown on their own, so a manager can be recognized as the source. Written comments appear in the words the Raters used, without names, and only when enough people commented on that question. The Report shows how many people responded in each group, not who. |
| The Leader and the coach do not see | Any other Rater's individual ratings or comments linked to a name, whether a named person has responded (except the manager's ratings, which the Report shows separately), or the raw response data. The coach has no access to the assessment platform. |
| Alive | A small number of Alive personnel who administer Profiles and produce Reports can see responses together with names, because they need them to do that work. They are bound by confidentiality obligations and see only what the task requires. |
Anonymity has limits. Alive combines ratings and sets minimum group sizes to protect you. The Leader may still guess who wrote something from distinctive wording, a detail only one person would know, or a small group. Write your comments with that in mind. Alive cannot promise anonymity.
Reminders. Alive sends automated reminder emails to Raters during the rating window. The Leader and the coach may encourage everyone invited to take part. Alive does not tell them who has responded.
How the Report is used
The Report is for development: coaching, feedback, and self-awareness. It is not designed for hiring, promotion, discipline, pay, or any other decision about a person's job, and it is not a clinical assessment. Coaches are not permitted to use it that way or to agree to that use with an organization. Alive cannot control what an organization does with a Report that a Leader chooses to share.
How long Alive keeps information
Responses tied to names. Alive deletes or irreversibly de-identifies ratings, comments, and rater identities 90 days after the Report is delivered.
Reports and administrative records. Alive keeps the Report it delivered, and routine records of the Profile, for up to 12 months. The Report can contain written comments throughout that time. The Leader and the coach keep their own copies and are responsible for them. Alive cannot erase copies it no longer controls.
Research. Alive keeps numerical ratings for long-term research to study and improve the Profile. This dataset has no names, no email addresses, and no written comments, and Alive does not keep a way to link it back to you. After your responses enter it, Alive cannot find your data to remove it.
Alive may keep information longer if the law requires it or to handle a legal claim.
Where information is handled
Alive operates in the United States. Brilliant Assessments hosts collection and stores the data in Canada. Brilliant staff in New Zealand, the Philippines, and the United Kingdom may access it remotely when needed for support. Other providers may handle information in the United States and other countries.
Alive does not send responses or Reports to an AI service or use them to train AI models.
Why Alive uses your information
Alive uses your information to send invitations, collect and score responses, produce and deliver the Report, protect Rater confidentiality and the security of its systems, keep records, and study and improve the Profile using de-identified data. Where UK or EU law requires a legal basis, Alive relies on its legitimate interests in running and improving the Profile, balanced against your interests and rights. You can object (see section 9).
Your choices and rights
You do not have to take part. A Rater may decline or stop at any time, and a Leader may decline before a Profile begins. Depending on where you live, you may also ask to see, correct, or delete the information Alive holds about you, object to its use, or withdraw a permission you gave. Alive may limit what it shares to protect other people's information, and cannot remove data from the research dataset after de-identification. You can also complain to a privacy regulator, such as the UK Information Commissioner's Office, the Office of the Privacy Commissioner of Canada, or the data protection authority in your EU country.
